Who can use the databases?

Any full-time staff or faculty of the College of H&HD is eligible to use our databases, with permission from the appropriate Department Chair or supervisors.

How do I get permission to gain access?

The Database Connections and Passwords page contains instructions for obtaining access.

Can student assistants use the databases?

You may hire a student assistant to update the data in a database, provided the student is working in an environment in which the data remains secure. The student must also sign a compliance form indicating that Sensitive Information is protected at all times. You are responsible for any potential breach of security that may arise from this arrangement.

What are the college guidelines for the protection of data?

The college guidelines for data protection are the same as requirements made by the University for the protection of student and faculty/staff information. To learn more about the University guidelines, please see Protecting Sensitive Information.

Why can't I see the student's SSN anymore? Can it be reinstated just for our use?

New guidelines make access to the SSN a liability. Please see the section Protecting Sensitive Information.

Who do I contact regarding training, problems in using a database, or changing a database password?

To gain access to the database, change a database password, receive database training, or resolve any problem you may encounter in using a database, contact Phong Hue.

Who do I contact to make changes in the application according to my specific needs?

The process for requesting changes in the database (e.g., a new report, new fields added to input screens, etc.) begins with you discussing your request with your supervisor. Your supervisor is then responsible for submitting a change request to the appropriate programmer. The programmer will then meet with you and your supervisor to discuss the changes in detail. Your request will be prioritized and scheduled for development and implementation as soon as workload permits.
